Once your admin installs the LeanData app in Outreach, reps get two scheduling surfaces: A BookIt tab on the Outreach prospect record, where reps launch BookIt Handoff to route and book a meeting with the right rep.A BookIt button in the Outreach email composer, where reps insert BookIt Invite availability directly into the body of an email. Both surfaces use the same routing logic, calendar availability, and Salesforce logging as scheduling from Salesforce, so meeting records and attribution stay consistent no matter where the rep starts. Key terms BookIt Handoff: The LeanData Scheduling product a rep uses to hand a prospect off to another rep, with routing and rep suggestions determining who should take the meeting. See the BookIt Handoff Admin Guide.BookIt Invite: The LeanData Scheduling feature that lets a rep insert a set of bookable time slots into an email so the prospect can confirm a time in one click. See the BookIt Links - BookIt Invite Guide.Prospect record: The Outreach record that maps to a Salesforce Lead or Contact. Use Cases Book a meeting during a live call. An SDR qualifies a prospect while working a sequence in Outreach and launches BookIt Handoff from the prospect record to book the routed account executive immediately, without opening Salesforce.Send availability when the prospect is not ready to book. A rep writing an email in Outreach inserts BookIt Invite time slots so the prospect can pick a time from the email itself.Follow up as an account executive. An AE scheduling a follow-up from the Outreach composer inserts their own availability rather than copying slots from another tool.Standardize scheduling across the team. A RevOps admin installs the app once for the org so every rep has the same scheduling entry points, with routing behavior controlled by existing BookIt settings. Prerequisites Before reps can schedule from Outreach, confirm the following: Your org has LeanData Scheduling with BookIt Handoff and, for the composer experience, BookIt Links enabled.Reps are authorized for LeanData Scheduling and have connected their calendars. See the BookIt Handoff Admin Guide for authorization steps.Reps have access to the Salesforce records they will schedule against. Record lookup runs under the rep's own Salesforce permissions.Outreach prospects are synced with Salesforce so each prospect resolves to a Salesforce Lead or Contact.An Outreach administrator is available to install the LeanData app for the org. Please Note: The LeanData Chrome extension is not required for the Outreach integration. If reps already use the extension, it continues to work alongside the integration. Installing the LeanData App in Outreach An Outreach administrator installs the app once for the entire org. Individual reps do not need to install anything. In Outreach, navigate to: Apps --> Install AppsLocate the LeanData app.Select Install and review the requested permissions.Confirm the install to make the app available to your Outreach users. After the install completes, reps see the BookIt tab on prospect records and the BookIt button in the email composer. Logging In to Salesforce Each rep authenticates to Salesforce the first time they open BookIt inside Outreach. The login happens inside the integration, so reps do not need a separate browser session or the Chrome extension. In Outreach, open a prospect record and select the BookIt tab, or select the BookIt button in the email composer.Select Log in with Salesforce.Complete the Salesforce login and approve access. After logging in, the rep's session is remembered for later visits. Please Note: Log in to the same Salesforce org that your Outreach instance is connected to. Logging in to a different org causes record lookups to fail. See Troubleshooting below. Launching BookIt Handoff from a Prospect Record In Outreach, open the prospect you want to schedule for.Select the BookIt tab.BookIt Handoff opens with the prospect's information already populated from the matched Salesforce record.Review the suggested reps. If Smart Rep Suggestions is enabled in your BookIt settings, routing runs and returns suggested reps. If it is disabled, Handoff opens in manual mode so the rep selects the host.Select the rep and an available time, then complete the booking. The Handoff experience matches the Handoff experience in Salesforce, including rep suggestions, round robin distribution, Instant Handoff, and post-booking updates to Salesforce. For details on each of those behaviors, see the BookIt Handoff Admin Guide. Please Note: BookIt Handoff launches from Outreach prospect records. Account and opportunity records in Outreach are not scheduling entry points. Inserting BookIt Invite Availability from the Email Composer Use BookIt Invite when the prospect is not ready to book live and you want to offer times in an email. In Outreach, compose an email to your prospect.Place your cursor where the time slots should appear in the body of the email.Select the BookIt button in the composer toolbar.In the BookIt Invite panel, select the meeting type and the host whose availability you want to offer.Select the time slots you want to present.On the confirmation screen, review the slots and adjust the slot color if needed.Select Insert to place the slots into the email body. The inserted slots are bookable links. When the prospect selects a time, the meeting is booked and logged in Salesforce the same way it is for BookIt Invite sent from anywhere else. For the full Invite feature set, see the BookIt Links - BookIt Invite Guide. Please Note: BookIt Invite offers the availability of the host you select. It does not run Handoff routing to pick the host for you. Logging Out and Session Behavior A logout control is always available inside the BookIt surfaces in Outreach, so reps can switch Salesforce accounts without the Chrome extension. Open the BookIt tab or the BookIt panel in the composer.Select Log out. If the Chrome extension is installed, logging out in Outreach does not log the rep out of the extension, and logging out of the extension does not log the rep out of Outreach. Login state stays independent across both. Considerations Record lookup runs under the rep's Salesforce permissions, so a rep can only schedule against records they can already see in Salesforce.Routing and post-booking Salesforce updates use your org's existing BookIt configuration. There is no separate routing configuration for Outreach.Reps must be logged in to the Salesforce org connected to your Outreach instance for prospect records to resolve.If your Outreach instance blocks third party integrations, work with your Outreach administrator to allow the LeanData app. Troubleshooting Salesforce record not found When a rep opens BookIt Handoff on an Outreach prospect and LeanData cannot find a matching record, the following message appears: Salesforce record not found. Make sure you're logged into the correct Salesforce account. If the problem persists, the record may not exist in this org yet. Check the following: Confirm the rep is logged in to the Salesforce org connected to your Outreach instance. If not, log out of BookIt in Outreach and log in to the correct org.Confirm the Outreach prospect is synced with Salesforce and has a matching Lead or Contact.Confirm the rep has permission to view that Salesforce record. The BookIt tab or button does not appear Confirm your Outreach administrator installed the LeanData app for the org.Confirm the rep is authorized for LeanData Scheduling.Refresh the Outreach page or reload the prospect record. Summary The LeanData Outreach integration puts BookIt Handoff on the Outreach prospect record and BookIt Invite in the Outreach email composer, so reps can route and book meetings without switching to Salesforce. An Outreach administrator installs the LeanData app once for the org, each rep logs in to Salesforce inside the integration, and scheduling behavior, routing, and Salesforce logging follow your existing BookIt configuration.
