This automation eliminates manual classification, streamlining Contact Role management and Buying Group formation. Since job titles vary significantly, Title Clustering helps standardize these variations, helping businesses to accurately assign a Lead’s or Contact’s role within a Buying Group. These Title Clusters will be stored within a field on the Lead or Contact record, but accessible within LeanData's Buying Group Journey Object to help Users organize their Buying Groups. Requirements & Prerequisites Title Clustering is available to all LeanData Buying Groups Edition customers. Title Clustering Functionality When a Lead/Contact’s Title is updated, LeanData will send a request to OpenAI’s API. The AI model will then categorizes the title into predefined Title Clusters and Job Levels. Once the appropriate Title Cluster and Level are identified, LeanData will stamp them onto a specified fields on the Lead / Contact. These Title Clusters and Levels can then be used to help assign relevant Contact Roles or Members to a Buying Group from LeanData Buying Group Journey object. Or used in Salesforce Lead / Contact reporting. If needed, Admins can reprocess updated classifications, which will update all relevant Leads and Contacts with their updated Title Cluster and Level Values. Setting Up Title Clustering Accessing Title Clustering Navigate to Buying Groups > Title Clustering in the LeanData App. Configuring Title Clustering Titles are classified along two distinct dimensions: Cluster values: Representing job functions or families (e.g., Sales, Marketing, Engineering).Level values: Representing seniority tiers (e.g., C-Level, VP, Director, Manager, IC). Configuring Title Clustering ValuesTo configure Cluster Values, ensure you are on the Title Clusters Sub-tab on the Title Clusters page. 1. Specify the Title Fields on Leads & Contacts Select the field that contains job titles for Leads and Contacts. LeanData will use this field to assign each record to a Title Cluster. 2. Select the Title Cluster Field Choose the field where LeanData will store the AI-generated Title Cluster. You may first need to create a new field for this purpose. 3. Define Title Cluster Values Specify the Title Clusters that LeanData will use to group Leads and Contacts Click Add Cluster to create Title Clusters.Enter a Name for the ClusterOptionally, add Example Titles separated by semicolons. This will enhance classification accuracy.Click the Checkmark icon to confirm the Cluster Name and Example Titles.Click the Pencil icon to edit a Title Cluster.Click the Trash icon to delete a Title Cluster.Click Save Changes once your Title Clusters are configured. 4. Calibrate your Title Clusters Cluster Calibration is a guided setup step that improves Title Clustering accuracy for your organization’s specific cluster definitions. During calibration, you review a sample of job titles and confirm which Title Cluster each title should map to. Your selections help the model classify future titles more accurately, which can impact downstream routing and Segment assignments. Calibration is required during first time activation of Title Clustering and after you make edits to your Title Clusters. In the Cluster Calibration section, click Initialize to prepare a sample of Job Titles for calibration. This is a prerequisite to start Calibration. Initialization may take up to an hour for large datasets — you may navigate away from the page and return later. When Initialization is complete, click Start Calibration to open the calibration modal. In the Calibration Modal, for each title, you’ll see the top 3 suggested clusters. Select the most appropriate Cluster for the given title. Use the Choose another Cluster dropdown for any clusters not shown. Use Previous / Next to navigate between titles. Click Save & Close at any time to save progress and resume later. After the final title, click Review to see a summary of all selections and make inline edits. Click Confirm to complete calibration. 5. Enable Title Cluster Classification Once you've completed entering your Clusters and example titles, enable Title Cluster Classification by switching on the Title Cluster Classification setting. Once enabled, LeanData will automatically populate the Title Cluster field based on a Lead or Contact's job titles. Reprocessing Title Clusters If you modify Title Clusters (e.g., renaming, adding, or deleting clusters), you must reprocess them by clicking Start Reprocessing in the Reprocess Title Clusters section.Please note: You will need to complete Cluster Calibration again before Title Clustering can reprocess your records. After recalibration is complete, you can use Reprocess to apply the latest configuration and mappings across your Leads and Contacts.Navigate to Buying Groups > Title Clustering and click Reprocess all Title Clusters. If successful, a confirmation message appears.If errors occur, an error message provides details. Configuring Title Level Values To configure Title Levels, ensure you are on the Levels Sub-tab on the Title Clusters page. 1. Confirm the Title Fields on Leads & Contacts Confirm the field that contains job titles for Leads and Contacts. LeanData will use this field to assign a Level to the record. This will be the same Title field used for Title Cluster Classification. 2. Select the Level Field Choose the field where LeanData will store the AI-generated Level. You may first need to create a new field for this purpose. 3. Define Level Values Specify the Levels that LeanData will use to group Leads and Contacts Click Add Level to create Levels.Enter a Name for the Level.Optionally, add Example Titles separated by semicolons. This will enhance classification accuracy.Click the Checkmark icon to confirm the Level Name and Example Titles.Click the Pencil icon to edit a Level.Click the Trash icon to delete a Level.Click Save Changes once your Levels are configured. 4. Enabling Level Classification Once configuration is complete, enable Level Classification by switching on the Level Classification setting. Manage Title Cluster and Level Classification Mappings Even with AI-powered Title Cluster mapping, human oversight is often needed to ensure accurate classification. To manage mappings, click the Manage Mappings button on either the Title Clusters tab or Levels tab. On the mappings page, you can view existing mappings and see whether they were generated by LeanData or manually mapped. You can upload your own Title Cluster and Level mappings via CSV, edit them directly in the interface, or download existing mappings, modify them offline, and re-upload the edited version. Click Upload Mappings Instructions for detailed instructions and a sample CSV template. After uploading or editing mappings, you must reprocess your Title Cluster and Level Classifications.
