You can navigate to this page by navigating to the LeanData Dashboard, then Admin > Settings. LeanData Enhanced Page Search To find any page within the LeanData app, you can leverage the search bar in the upper left to search for a specific page and go to it with a single click, rather than navigating through the menus. Account Information Information about your LeanData account can be found under Admin > My Account. On this page you can find useful information such as your current LeanData App version, your Salesforce Org Id, the current integration user, as well as your LeanData Customer Success Manager. General Settings The General Settings can be found in the General tab on the Admin Settings page. LeanData Job Scheduler & LeanData Integration User If you want to check on the status of the LeanData continuous Apex job, you can see the current status in the LeanData Job Scheduler section. For details on the different job statuses, please see the LeanData Job Status FAQ. The LeanData Integration User is the User of record for all LeanData Actions. You can designate a User solely for LeanData processing, but you can designate an actual Admin User as the LeanData Integration User. If you ever need to change the Integration User -- for instance if the current Integration User will be deactivated in Salesforce -- simply have your intended new Integration User log into Salesforce, navigate to this page, and click the Restart Scheduler button. Whichever User clicks this button will become the new LeanData Integration User. Import / Export LeanData In-Product Settings If you are migrating LeanData from one instance of Salesforce to another, you may want to carry over all of your in-product settings from the old instance to the new instance. To do this, click the Export Settings button in the Import/Export LeanData In-Product Settings section while you are logged into your old instance. After selecting which specific settings you would like to carry over, this will download a settings file. Once you have the settings file, log into the instance you would like to migrate the settings to, and navigate to this same section on the LeanData Dashboard > Admin > Settings page, and click Import Settings. This will prompt you to select the settings file from your computer. This will then apply the settings to your new instance. Download Fields Used in LeanData If you need to see a list of all of the Salesforce fields that are actively being used in your LeanData setup, from fields referenced in FlowBuilder, Mapped Account Fields, or Tiebreakers, you can download a CSV file from the Download Fields Used in LeanData section on this page. Authorization The Authorization tab on on the Admin Settings Page will allow you to authorize User Tokens for different LeanData products as well as generate access tokens for LeanData Routing API integrations. Token Authorization For more information on how to Authorize User Tokens, please see the Token Authorization Guide. API Key Management Here, you will be able to view and generate access keys for use with LeanData's Routing API. To generate a new key, enter a key label and click the Generate Key button. For more information about LeanData’s Routing API, please see LeanData API Documentation. Notifications The Notifications tab on the Admin Settings page will allow you to configure how administrative notifications from LeanData will be sent. Monitoring Alerts In order for LeanData to function, the LeanData Continuous job needs to run regularly. There is a monitoring job that will regularly check to see if that job is running properly. If not, a monitoring alert will be sent to all email addresses listed in the Recipients tab. You can also choose to send an additional notification to the LeanData Integration User by checking the box in the Monitoring Alerts section. Routing Alerts Sometimes, you may want to be notified if records are taking longer than a certain amount of time to get processed and routed in LeanData. In the Routing Alerts section, under Routing Delay Definition, you can designate a time frame, after which LeanData will send a delay notification if records are not processed after that time frame. You can also control how frequently you want notifications to be sent in the event that a delay remains unresolved in the Email Frequency section. FlowBuilder Notifications Action Node Notifications By default, notifications sent from FlowBuilder will be sent from the LeanData Integration Users email address in Salesforce. If you would prefer that these notifications be sent from a Salesforce organization-wide email address instead, you can select which one you would like to use here. If the organization-wide email address fails, LeanData will default back to the LeanData Integration User. Chatter Notifications If you want LeanData to send Chatter notifications when it routes records, you can enable that in the Chatter Notifications section. This will only control notifications sent via LeanData, and will not affect the standard Chatter notifications you have configured in Salesforce when certain updates are made to records. Recipients On the Recipients tab, you will be able to configure the recipients of your Monitoring Alerts or Routing Delay Alerts. Permissions On the Permissions tab, you will be able to see which permissions the Integration User has, as well as assign LeanData permissions to different Salesforce Profiles. Integration User Permissions Clicking the Download Permissions .CSV button will save a CSV file with the Integration User's Permissions onto your computer. Permissions Management If you would like to assign LeanData Permission Sets to everyone with certain Salesforce profiles, you can do so in the Permissions Management section. Click on Permission Set Descriptions to understand what each of the different LeanData Permission Sets does. For more information, please see the LeanData Permissions Sets Guide. Reporting The Reporting tab will allow you to configure how long Audit Logs, Round Robin History, Time to Action Logs, and Tagging Logs are stored in your system. Audit Logs, Meeting Logs, & Round Robin History The Audit Logs, Meeting Logs, & Round Robin History section will determine how long Audit and Meeting Logs will be stored. By default, LeanData will store Logs for 90 days. If you extend this duration, it will apply to current and future logs, but it will not retrieve older logs that have already been deleted. If you toggle Round Robin History on, logs will also be kept for the same retention time to track changes to your Round Robin Pools. You can review these change logs from within an individual pool on the Change Log tab. For more information on Audit Logs, please refer to the LeanData Audit Logs Guide. For more information on Round Robin History, please refer to the Round Robin Overview Guide. Time-to-Action Log Retention The Time-to-Action Log Retention section will determine how long Time-to-Action Logs will be stored. These logs are kept to track how long records are held in Hold Until nodes. By default, LeanData will store these Logs for 365 days. If you extend this duration, it will apply to current and future logs, but it will not retrieve older logs that have already been deleted. Tagging Logs Turning on Tagging Logs will allow you to download logs for the Tagging actions that LeanData makes in your Salesforce instance. If you do not turn on Tagging Logs, LeanData will not store them by default. Once you turn on Tagging Logs, LeanData will start capturing logs moving forward, and will only keep them for the duration that you specify in the Tagging Log Retention section. When you want to download your Tagging Logs, specify the date range for the Logs you wish to download in the Log Date Range section, and click Download Logs. AI Tools Use the AI Tools tab to enable LeanData’s AI-powered features and which LLM providers you wish to use. AI Graph Summary and AI Graph Comparison Turn on AI Graph Summary and Graph Comparison if you want to use these features in FlowBuilder. LeanData currently supports Google Gemini as the LLM provider for AI Graph Summary and AI Graph Comparison.If you prefer to bring your own key, authorize your Gemini API key from Integrations > Routing > Google Gemini. For more information, see the Routing – AI Graph Summary guide and the Routing – AI Graph Comparison guide. AI Inference Node Turn on AI Inference Node if you want to use the AI Inference Node in FlowBuilder. In order to use the AI Inference Node, you will first have to provide your own API key for that provider in Integrations.After authorizing, select the LLM Provider you want to use from the dropdown. After the provider is authorized, LeanData can use your key to run AI actions from the AI Inference Node. For more information, see the AI Inference Node guide. Advanced On the Advanced tab, you will see some additional settings related to Real-Time Routing and Tagging and Routing Prioritization. Real-Time Routing & Tagging By default, Real-Time Routing is not enabled in LeanData. To enable it, navigate to the LeanData Dashboard > Admin > Settings > Advanced > Real-Time Routing & Tagging > Edit Settings. Once on the Settings page, you can configure which Objects and trigger types you would like to enable Real-Time Routing for. You can also designate a threshold for each Real-Time Routing Trigger option. Object - which objects should initiate Real-Time Routing. All your purchased Router Objects, plus any additional Triggering objects (i.e. Campaign Member) will be available. Trigger Types New Records - Enable Real-Time Routing when records are created or insertedUpdated Records - Enable Real-Time Routing as records are updated to meet your Update Entry conditions (e.g. Updated Lead Entry Node) Routing Threshold - determines how many records are processed at a time in Real-Time Routing. The default and recommended value is 5. The higher the value, the higher the chance of timeouts during processing. If you experience Apex CPU timeouts, adjust the threshold lower.
